The Multi-Channel Problem Nobody Warns You About
You get a customer question on WhatsApp at 10 AM. At 10:15, the same customer follows up on Instagram DM because they didn't hear back. By 10:30, a different customer is waiting in Facebook Messenger. Meanwhile, a new WhatsApp message from a lead who found you through your website has been sitting unread for twenty minutes.
Managing multiple social channels individually isn't just inefficient — it's a recipe for missed messages, duplicate replies, and inconsistent customer experience. The moment you have more than one channel and more than one person responding, the wheels fall off without a unified system.
This guide covers what a unified social messaging inbox looks like, what to look for in a platform, and how to set one up practically.
Why Separate Apps Don't Scale
Your team can't share a phone
WhatsApp Business (the free app) only supports one active device. If you have two people handling customer messages, one of them is doing it on their personal phone — with no oversight, no history transfer if they leave, and no visibility into what's been replied and what hasn't.
There's no unified view
A pending DM on Instagram doesn't show up when you're looking at WhatsApp. You have to context-switch between apps constantly, and it's very easy to lose track of who you've replied to and who's still waiting.
No reporting across channels
How long does it take you to respond on Instagram vs. WhatsApp? What percentage of conversations get resolved within the first reply? Which channel drives the most leads? You can't answer any of these without a unified system.
Automation becomes impossible
Automating responses, routing conversations to the right team member, or setting up keyword-triggered flows requires a platform-level API — not an app on your phone.
What a Unified Social Inbox Gives You
The core idea is simple: all your messaging channels — WhatsApp, Instagram DM, Facebook Messenger — feed into a single interface. Every new message from any channel appears in one inbox. Your team replies from one place. The platform handles routing the reply back to the right channel automatically.
Beyond the basics, a good unified inbox adds:
- Conversation assignment — route WhatsApp queries to your sales team, Instagram questions to your social team
- Contact profiles — see every message from a customer across all channels in one thread (or linked profiles)
- Automated responses — out-of-office messages, instant acknowledgements, keyword-triggered flows across all channels
- Canned replies — agents save and reuse common answers
- Internal notes — leave context for colleagues without the customer seeing
- Read status tracking — know who's seen what and what's still pending
- Performance metrics — response time, resolution rate, agent volume per channel
WhatsApp vs. Instagram vs. Facebook Messenger: What's Different
The three channels work differently under the hood, which affects what you can send and when:
WhatsApp Business API
The most capable channel for businesses. You can send template messages to initiate conversations (order updates, reminders, campaigns), set up interactive buttons and list menus, and send media-rich content. The 24-hour messaging window applies: once a customer messages you, you have 24 hours to reply freely before needing a template. Tenreply connects to WhatsApp via the official Meta Cloud API.
Instagram Messaging
Works through the Instagram Graph API (Meta). You can reply to DMs, comment replies, and story mentions that convert to DMs. You cannot initiate a conversation first (no marketing templates like WhatsApp). Great for handling inbound queries from your Instagram audience and for support on your content channels.
Facebook Messenger
Works through the Messenger Platform API. Similar to Instagram — strong for handling inbound queries. You can set up automated flows and quick replies. The 24-hour session window applies here too.
How to Set Up a Unified Inbox in Practice
Step 1 — Connect WhatsApp
In Tenreply, go to Settings → Channels → WhatsApp. You'll connect via Meta Business Manager: either through the guided Meta Embedded Signup (for new numbers) or by pasting your existing phone number ID and access token (if you already have API access through n8n or another tool). The connection takes about 10 minutes.
WhatsApp is the most feature-rich channel in the inbox, so connect it first and get comfortable with the interface before adding more.
Step 2 — Connect Instagram
In Tenreply, go to Settings → Channels → Instagram. You'll need your Instagram Business Account linked to a Facebook Page, and the Page must be connected to your Meta Business Manager. Authenticate via Facebook OAuth — Tenreply walks you through it step by step. Once connected, all Instagram DMs and story reply messages start flowing into the same inbox as your WhatsApp messages.
Step 3 — Connect Facebook Messenger
In Tenreply, go to Settings → Channels → Facebook Messenger. Authenticate via your Facebook Page. Messenger is often the simplest connection since it's just the Page's inbox — no additional setup required on Meta's side beyond Page admin access.
Step 4 — Invite your team
Go to Settings → Team Members → Invite. Each team member gets a role — Owner, Admin, or Agent. Agents see only the inbox; Admins can manage settings and view reports. Add as many agents as you need — Tenreply doesn't charge per seat.
Step 5 — Set up routing and automations
Use the Automations section to set up rules like:
- Auto-assign all Instagram messages to your social media manager
- Auto-assign WhatsApp sales enquiries to your sales team
- Send an instant auto-reply outside of business hours across all channels
- Flag conversations mentioning "refund" or "complaint" with a priority status
Scheduling and Broadcasting Across Channels
For outbound campaigns and scheduled messages:
- WhatsApp — use Broadcasts to send approved templates to your opted-in contacts. Schedule for a specific time or send immediately. Segment by tags, purchase history, or custom fields.
- Instagram and Messenger — outbound templates are not supported by Meta's API (you can only reply to inbound messages, not initiate). For those channels, your outbound strategy lives on your content and stories, which drive customers to message you first.
If you're looking to schedule Instagram posts and stories as well (not just DMs), that's a separate category of tool — social media scheduling platforms like Buffer or Later. Tenreply handles the messaging side (DM conversations, responses, broadcasts), not the content posting side. Many teams use both: a scheduling tool for their content calendar, and Tenreply for the conversation inbox.
Time Savings in Practice
Teams that consolidate from separate apps to a unified inbox typically report:
- 50–70% reduction in first response time — nothing is missed; the next available agent picks up the next unassigned conversation regardless of channel
- Fewer missed messages — a single inbox means a single queue to monitor, not three separate apps
- Faster agent onboarding — one tool to learn instead of three
- Consistent tone across channels — canned replies and shared templates mean customers get the same quality answer whether they contact you on WhatsApp or Instagram
Getting Started
Tenreply supports WhatsApp, Instagram, and Facebook Messenger in one shared inbox, with unlimited agents and a 14-day free trial. Setup typically takes under an hour for all three channels. If you're currently managing these channels separately, the first day after switching is usually when the time savings become obvious.
