Rejection Is a Format Problem, Not a Judgement
Nearly every business using the WhatsApp Business API gets a template rejected early on. It is rarely because the message was objectionable — it is because template review checks a narrow set of formal properties, and a message written like an email fails most of them.
Meta usually reviews within minutes to a few hours. Once you know what the reviewer is looking for, first-try approval becomes the normal outcome.
The Six Reasons Templates Get Rejected
1. Variables at the very start or end
A template that opens with {{1}} or closes with {{2}} is rejected automatically. A reviewer cannot tell what a message beginning with a placeholder will actually say, so the rule is mechanical: always surround variables with fixed text.
Rejected: {{1}}, your order has shipped.
Approved: Hi {{1}}, your order has shipped.
2. Consecutive variables
{{1}} {{2}} with nothing between them reads as a blank to a reviewer. Separate them with real words: Order {{1}} ships on {{2}}.
3. The content does not match the category
This is the most common substantive rejection. Templates are submitted as Marketing, Utility, or Authentication, and the text has to match:
- Utility — relates to an existing transaction: order confirmations, shipping updates, appointment reminders, receipts.
- Marketing — anything promotional: offers, launches, re-engagement, newsletters.
- Authentication — one-time passcodes only, nothing else.
A discount code submitted as Utility gets rejected. Reclassify it as Marketing and the same text passes. Categories also affect what Meta charges, which is why the temptation exists — it is not worth it.
4. Placeholder or example content left in
Templates containing Lorem ipsum, test, XXXX, or an obviously fake URL get rejected. Submit the real wording you intend to send, with realistic sample values for each variable.
5. Grammar, spelling, and shouting
Reviewers reject sloppy text. Watch for spelling errors, ALL-CAPS sentences, excessive punctuation (!!!), and emoji used as a substitute for words. A little formatting is fine; a message that looks like spam is treated as spam.
6. Content WhatsApp does not permit
Some categories are prohibited outright regardless of formatting — alcohol, tobacco, weapons, adult content, gambling, unapproved supplements and drugs, and get-rich-quick offers. Check Meta's Commerce and Business Messaging policies before investing effort in these.
A Template That Passes
Structure matters more than cleverness. A reliable shape looks like this:
- Header (optional) — short, often the brand or purpose:
Order Update - Body — greeting, fixed context, variables surrounded by text:
Hi {{1}}, your order {{2}} has been dispatched and should arrive by {{3}}. - Footer (optional) — a brief line such as
Reply STOP to unsubscribe - Buttons (optional) — a quick reply or a URL that genuinely relates to the message
If You Do Get Rejected
A rejection is not a strike against your account, and there is no penalty for resubmitting. Read the rejection reason Meta returns, fix the specific issue, and submit again — corrected templates are typically approved on the second attempt.
Repeated rejections of the same template without changes is the one pattern to avoid, since it can affect account quality over time. Change something real between attempts.
Frequently Asked Questions
How long does template approval take?
Usually minutes, occasionally up to 24 hours. Authentication templates tend to clear fastest.
Can I edit an approved template?
Editing sends it back for review. If the template is actively in use, create a new one and switch over once it is approved rather than risking a gap.
How many templates can I have?
Meta allows a large number per account, and Tenreply does not add a limit of its own. Practical advice: fewer, well-parameterised templates beat dozens of near-duplicates.
Do rejections hurt my quality rating?
A rejection by itself does not. Your quality rating is driven by how recipients respond — blocks and reports are what damage it.
Why does the same template cost different amounts?
Because pricing is per category and per country. See the per-message pricing guide.
Write Them Once, Properly
Templates are the piece of WhatsApp infrastructure you build once and rely on for years — every broadcast, every drip sequence, and every message that reaches a customer outside the 24-hour window runs through them. Tenreply's template editor previews the rendered message with sample values before you submit, so formatting mistakes surface before Meta sees them. Get started free.
